Charter Oak Financial is seeking a Site Coordinator for our Melville, N.Y. location.
The primary role of the Site Coordinator is to provide exemplary customer service to our advisors and clients. The Site Coordinator is responsible for answering calls and fielding them accordingly, addressing client/guest questions and needs, and providing a welcoming environment.
We will need your energetic, self-starter attitude that thrives in a fast-paced, detail-oriented environment.

Primary Responsibilities

  • Greet and announce firm visitors in a friendly, welcoming manner
  • Answer incoming calls and direct them to the appropriate party
  • Maintain appearance and cleanliness of reception area(s), breakroom, lobby, and conference rooms
  • Distribute incoming mail, faxes, and packages
  • Open, review, and date-stamp incoming mail as appropriate for supervisory requirements
  • Post firm mail and prepare UPS packages daily
  • Maintain office machines and supplies, including the postage meter, copiers, and coffee maker
  • Prepare and send any district/detached mail as appropriate
  • Order and maintain supplies from vendors, home office, etc.
  • Maintain the firm phone list
  • Carry out systems and processes to ensure the firm’s administrative operations are running smoothly
  • Coordinate facilities requests, e.g., office moves, HVAC requests, etc.
  • Maintains COVID tracking log
  • Assist COO and Managing Partners with special projects as appropriate
  • Works with COO to provide administrative support

Secondary Responsibilities

  • Quickly embrace and champion new technology and processes that drive practice efficiency
  • Complete assigned onboarding and offboarding tasks
  • Assist other departments as directed
  • Source local vendors when services are required
  • Performs other duties as assigned or required

Measurement Criteria

  • Efficiently processes requests
  • Timely handling of site-specific communications
  • Timely escalation of issues

Qualifications

  • Proficient computer, telephone, and verbal communication skills
  • High School diploma or equivalent
  • Knowledge of MassMutual operational processes
  • Experience with Office 365
  • Minimum 3-5 years of related work experience
